DEPOSIT | PAYMENT | CANCELLATION POLICY
INITIAL PLACEHOLDER DEPOSIT ($500/$750/$1000)
To reserve your spot on one of our retreats, please check to see whether we are asking for a $500, $750 or a $1000 placeholder deposit. This deposit is non-refundable and nontransferable. This deposit can be made via our site.
When you reserve, you will see that we typically offer a payment plan that includes a total of 3 payments spread out over a period: the 1st payment being the placeholder deposit ($500/$750/$1000), and the last two payments being 50% of the remaining balance. Upon receipt of your payment, we will send you a confirmation email. The final payment due date varies from retreat to retreat – please check your chosen retreat page for specific payment due dates.
Should you need a payment plan that differs from the one offered, please feel free to reach out to us to see how we might be able to work together. We will do all possible to create a plan that is suitable and supports your needs.
We offer scholarships for some retreats/cultural immersions whenever possible, please feel free to inquire prior to reserving your spot to see if this might be an option for your chosen journey.
Each retreat will differ in terms of what room/accommodation types are available (i.e.: single/double/triple/quad, etc.). The “retreat cost” tab on your chosen retreat will indicate what rooming options are available. As stated on this tab, if you prefer to share your room, we will do our best to match you with a roommate. If we are unable to do so, a supplement will apply. We always do our best to match those wishing to share accommodations with others. Often we are successful at doing so. However, we cannot guarantee that a roommate(s) will come forward. If you register for shared space and no roommate surfaces, you as the guest will be responsible for paying the supplemental amount due to match your actual accommodation.
Please note that there will be no refunds or discounts for arriving late, leaving early, flight cancellations, travel delays or illness. If you cancel your participation in a retreat for any reason, the cancellation policy described here will apply, with no exceptions. We wish we could compensate people for unforeseen circumstances (injury, illness, work issues, family emergency, etc.), however we have costs already incurred when reserving retreat centers and hotels, in addition to the high level of work required within the retreat planning process. We have designed our cancellation policy to be as flexible as possible in the case that your plans change. To protect yourself further, we strongly encourage you to purchase travel insurance.
IF YOU CANCEL THE RETREAT:
Prior to the stated cancellation deadline, we will refund your payment minus the non-refundable deposit. If you have paid the $500/$750/$1000 deposit, again, this is non-refundable. All payments are non-refundable after the stated deadline. Satya Retreats must strictly adhere to its cancellation policy to offset costs already incurred before the commencement of the retreat.
If you cancel after the cancellation deadline, your deposit/payments are non-refundable. Please note that the resale of your spot does not equal a refund. These terms are not negotiable.
We strongly suggest purchasing ‘Cancel For Any Reason’ travel insurance to ensure you are covered should any unexpected event arise.
To cancel, it is very important that you send us an email as soon as possible, stating that you wish to cancel to: firstname.lastname@example.org
IF WE CANCEL THE RETREAT:
We very rarely must cancel a retreat. However, if we do cancel a trip due to low registration numbers or similar, we will provide a refund to you for all deposits/payments made. We cannot however compensate you for airfare or other travel costs incurred.
In the unlikely event that Satya Retreats must cancel a retreat due to weather, natural disaster, political upheaval, a national or global health crisis and other circumstances that are beyond our control, we cannot guarantee a refund – this will depend upon whether we receive refunds from the venues & tour operators we work with. To cover all of these risks, we highly recommend you consult with your preferred travel insurance advisor, choosing the plan that suits your needs.
We strongly recommend you contact your chosen provider at the time you are committing to your retreat, as there are timelines for coverage, it is not advisable to wait to purchase your coverage! In order to guarantee maximum coverage, most travel insurance providers require that you obtain a policy within 5-10 days of placing your initial deposit. You are welcome to use any company/provider you prefer for your Travel Insurance. We recommend both Travelex and World Nomads, which offer a variety of travel insurance package options, including the option for a comprehensive “cancel for any reason” policy. Both of these reputable companies along with other trip insurance companies can give you quotes for each scenario. You can call their customer service line and consult with a live person.
Should you elect to not purchase travel insurance, note that you will be assuming 100% of any costs incurred for trip cancellation or trip interruption. Be sure to understand the fine print of the policy you select to ensure you know exactly what is and isn’t covered.
Please review the following information carefully:
You agree that it is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risks of COVID19. We assume no responsibility for and shall not be liable for unsafe conditions or health hazards including pandemics or other illnesses. We have no special knowledge of dangers during travel or at destinations. For information related to such dangers, we recommend going to the State Department travel website at www.travel.state.gov, click on “Find International travel Information” then click on “Country Information”, and fill in the name of the destination country. For medical and health information, we recommend going to the Centers for Disease Control website at www.cdc.gov/travel, then click on “Destinations” and scroll to the name of the destination country.
Claims Deadline and Exclusive Jurisdiction: You agree to present any claims against us within 30 days after your trip ends and to file suit within one year of the incident, and you acknowledge that this expressly limits the applicable statute of limitations to one year. You agree that the courts in Alameda County, California will be the exclusive jurisdiction for all claims brought by you or us, and you hereby submit to the personal jurisdiction of those courts.
Disputes: Mandatory Binding Arbitration Waiver. Any disputes or claims relating or referring to a Retreat should be submitted to Satya Retreats in writing no later than 30 days after the end of your Retreat. You and Satya Retreats shall attempt in good faith to resolve any dispute or claim concerning, relating, or referring to a Retreat, Services sold by us, the Site, any literature or materials concerning our Services, and these Terms and Conditions or the breach, termination, enforcement, interpretation or validity thereof, (hereinafter a “Dispute”) through preliminary negotiations. If the Dispute is not resolved through good faith negotiation, all Disputes shall be resolved exclusively by binding arbitration held in Alameda County, California and presided over by one (1) arbiter. The arbitration shall be administered by JAMS (https://www.jamsadr.com) or a similar Alternative Dispute Resolution.
